Terms and Conditions (Volunteer)
Overview and Race
The 2026 edition of the Africa Wild Ultra™ will take place from the 17th May 2026 through to Thursday 28th May 2026 in the Limpopo Province of South Africa. These dates are inclusive of volunteer registration, training and the main event itself. The race home-base town is Hoedspruit, Limpopo.
Every year, the Africa Wild Ultra™ takes place in May within the Kruger to Canyons Biosphere. The race will take place in the northern-most part of the Drakensburg Mountain range and Big5 bushveld in Limpopo, close to the Kruger National Park. It takes the form of a multi-staged, self-sufficient, ultra-marathon trail race over 250km.
Africa Wild Ultra™ recruits volunteers from all over the world, to help with operations and logistics during the event. Each volunteer must be food self-sufficient, carry his/her own daypack with the daily emergency requirements, specific mandatory equipment, water, food, and any other necessary items. Volunteer holdalls (with their clothing, some equipment, personal effects and food supplies) will be transported by vehicle from camp to camp.

Governing Rules
Africa Wild Ultra™ will be conducted in accordance with these Terms and Conditions. By registering, all volunteers agree to adhere to, and be bound by, these Terms and Conditions, and by the terms of the Africa Wild Ultra™ Volunteer Brief.
Eligibility
Anyone 21-70 years of age (as of the date of the race) can apply. All volunteers are required to complete the online Registration Form and include a brief biography of themselves. Additionally, volunteers must email a medical certificate issued by a licensed physician confirming fitness for participation, accompanied by a resting ECG report to info@africawildultra.com. Registration will only take place after the volunteers' application is accepted by Africa Wild Ultra™.
Accommodation
- Africa Wild Ultra™ will provide accommodation in a hotel/lodge/tented camp on the volunteer registration evening and for the duration of training, including the night of competitor registration, with dinner and breakfast included.
- Africa Wild Ultra™ will provide accommodation in a hotel/lodge/tented camp on the final evening after the race (28th May 2026). This will include the awards dinner and breakfast the next morning. Check-out will be on Friday 29th May 2026.
- Africa Wild Ultra™ is not responsible for the account of any alcoholic beverages at any time, and any other additional beverage/soft drinks and meal/food orders beyond those at set meals.
Ablution Rules
Please make use of the toilet facilities provided at campsites. When on the course, ablutions must be done at least 100m from a checkpoint, the course, or villages. All human waste must be buried at least 25cm below the surface. Toilet paper must be placed in a zip lock bag and carried to the next checkpoint or campsite to be disposed of in the supplied waste bins.
Acknowledgement
The volunteer acknowledges that they have read, understood and acknowledged, prior to registering as a volunteer, all Terms and Conditions and all relevant information including the Africa Wild Ultra™ Volunteer Brief, to make a qualified and informed decision to register and participate in the Africa Wild Ultra™ as a volunteer.
Application Information
- No late applications will be considered.
- Applications close at midnight on 20th February 2026 (23:59 SAST)
- The organization reserves the right to refuse a volunteer's application.
Online Applications
- All applications for volunteering must be completed via the online registration process at www.africawildultra.com.
- This information must be submitted in full on or before registration closure on 20th February 2026 (23:59 SAST).
Registration will involve completing administration and medical information. All necessary information and documents from the volunteer must be received by the race offices in good time for completion of registration as a volunteer.
Any change to a volunteer's information and details must sent timeously to Africa Wild Ultra™ via email to registrations@africawildultra.com.
Campsites and Logistics
Volunteers will overnight in designated campsites set up daily throughout the race. These camps offer basic amenities including numbered tents (generally accommodating 10 people), basic sanitation facilities, medical support, technical support, fires (in fire pits), and warm water access. Tent assignments will be determined by the Camp Manager before the race commences and remain fixed for the duration of the event.
Cancellations / Postponements
Registration Cancellation
Cancellations by volunteers, (this does not apply to travel packages that may have been booked), must be made in writing by email and sent to: registrations@africawildultra.com.
Cancellation / Postponement of Event: Cancellation Insurance
Africa Wild Ultra™ reminds volunteers that any cancellation or postponement of the event is a force majeure and that it is therefore strongly advised that volunteers take out a policy to cover this event, should it arise.
Complaints / Disputes
All complaints/disputes from volunteers must be addressed to the Volunteer Manager verbally or in writing. This will be resolved within 6 hours.
Complimentary Inclusions
Registration includes:
- All transfers in relation to the race in and around Hoedspruit
- Hotel/lodge/tented camp accommodation from 17th May 2026 through to and including 20th May 2026 – the day before departure to Camp 1, on a DBB* basis. Accommodation on a DBB* basis will also be provided on the night of the 28th May 2026 for the awards dinner. No alcoholic beverages are included at any time and food and soft drinks are only included at set mealtimes, unless authorised by the Race Director.
- Campsites with tented accommodation (except on the evening of 26th May 2026)
- Holdall transfer camp-to-camp during the race
- Water supplied throughout the race: hot water available at campsites

Credits
All volunteers qualify for a 10% credit for one race entry for the following years Africa Wild Ultra™ edition.
Data Protection
By registering for the Africa Wild Ultra™, volunteers acknowledge and consent to the collection of their personal data through the registration platform.
If a volunteer does not want this information published, they must submit a written request to registrations@africawildultra.com no later than thirty (30) days before the event starts (20th April 2026).
Image Rights
Africa Wild Ultra™ holds exclusive rights for photographic/film coverage. Volunteers agree to allow Africa Wild Ultra™ to use, indefinitely, the volunteers individual or group images for anything related to the volunteer's participation in the event, which may include name, and voice. This includes marketing and advertising.
If the volunteer chooses to revoke permission to the use of their image after registration, they must notify Africa Wild Ultra™ by email at registrations@africawildultra.com by 20th February 2026 (23:59 SAST).
Dates
The 2026 edition of Africa Wild Ultra™ will take place between the 17th May 2026 to 28th May 2026, inclusive of registration, training and the main event. All volunteers registering for the Africa Wild Ultra™ are required to register in Hoedspruit at the hotel/lodge/tented camp between 14:00-16:30 on the afternoon of 17th May 2026.
All dates can be confirmed in Paragraph 20 – Itinerary.
Documentation
Mandatory documents to be emailed to registrations@africawildultra.com no later than 20th February 2026 (23:59 SAST) and all documents are to be provided as originals (by the volunteer) at registration:
- All information regarding the volunteer's identity, contact details, next of kin, etc., as per the registration form
- Photocopy of current valid passport (valid for at least 3 months after stay). For South Africans a copy of valid ID is required
- 1x colour identity document or passport photograph (3.5 cm x 4 cm)
- In the case of a volunteer receiving long-term treatment for chronic illness, a letter to the Medical Director attesting to the volunteers ability and fitness to participate
- Confirmation of mandatory insurances
Entrants - Minimum
The Africa Wild Ultra™ and/or the organisers reserve the right to postpone the event, and carry volunteers' registrations over to the following year, subject to a minimum number of entries being no less than fifty (50) competitors.
Environmental Care
To protect the environment, littering is strictly prohibited on the course, at checkpoints, and at campsites. All waste must be disposed of in the supplied waste bins available at checkpoints and campsites. Africa Wild Ultra™ is very stringent on this to minimise the race environmental impact.
Equipment and Clothing Provided
During the physical registration process in Hoedspruit on 17th May 2026, each volunteer will receive:
- 2x Volunteer T-shirts and 1x cap (Additional T-shirts can be purchased. Email: shop@africawildultra.com)
- A tracking remote with distress alert capability (to be determined)
Food and Nutrition
- Volunteers are responsible for providing their own food during the race from the afternoon of Thursday 21st May 2026 through to and including the morning of Thursday 28th May 2026
- During the stages (22nd May 2026 through to Wednesday 27th May 2026), volunteers must carry on their person a minimum of 800 k/calories of emergency rations
- Volunteers should have a minimum of 2,000 k/calories of food available per day (excluding their emergency rations)
- Volunteers are allowed to take other items of food as long as it can be carried in their day pack
Governing Law
The parties agree that these Terms and Conditions and the Africa Wild Ultra™ Volunteer Brief are governed by South African Law. All Terms and Conditions are written in English. Only the English text will prevail in the event of a dispute.
In the event of a dispute, the volunteer must contact Africa Wild Ultra™ via email at admin@africawildultra.com within forty-five (45) days after the event.
The volunteer may resort to arbitration with the Arbitration Foundation of Southern Africa as an alternative means of dispute resolution.
Indemnity
All volunteers are to sign the Africa Wild Ultra™ Indemnity Agreement at registration. Failure to do so will prevent participation in the race.
Insurance
To ensure volunteers safety and well-being, all volunteers must have the following valid insurance cover in place. The listed insurances are mandatory. Proof (originals) must be shown at registration:
South African volunteers should have medical insurance in place, proof of which must be shown at registration.
Itinerary
Liability
Africa Wild Ultra™ and/or the organisers shall be liable towards volunteers for proper performance of duties/services. However, they may be partly or fully relieved from liability if damage is attributable to the volunteer(s) or circumstances beyond their control.
Claims for liability have a limitation of 45 days post the final race-day.
Africa Wild Ultra™ and/or the organisers reserve the right to claim compensation in the event of damage committed by any volunteer and to remove volunteers in the event of damage or infringement.

To ensure a seamless experience, volunteers must adhere to the following baggage guidelines:

All volunteers must carry the mandatory equipment as specified below, as well as their emergency food supply (800 k/calories) in their own daily pack.

Possible Considerations
Walking sticks, gaiters, trail shoes, one change of clothing, cap with neck covering, light breathable clothing, windbreaker jacket, beanie and buff, extra underwear and socks, eating utensils, sun protection lipstick, blow-up/self-inflating mattress, sunglasses, wet wipes, anti-chafing cream, toilet paper, ear plugs, toothbrush/toothpaste, small high calorific-valued foods
Medical Care
A dedicated medical team will be present throughout the race. Doctors/paramedics will be stationed at every checkpoint and at the campsite. A Medical Tent will be staffed to address volunteers' medical concerns at the campsite.
Volunteers experiencing physical or mental exhaustion will be transported to the host hotel/lodge/tented camp in Hoedspruit. The medical team reserves the right to withdraw any volunteers deemed physically unfit to continue.
Medical Mandatory Documents
- Medical certificate issued by licensed physician confirming fitness for participation (original)
- Resting ECG Report and Graph dated within thirty (30) days (20th April 2026) before race start (original)

Submission
All documents, in original form with doctor's signature and stamp, must be presented at Volunteer Registration in Hoedspruit on 17th May 2026. Photocopies are not accepted. Failure to submit will result in non-participation.
There is an Africa Wild Ultra™ Medical Certificate downloadable from the website from 1st May 2025 that must be submitted by email to registrations@africawildultra.com.
Recommendation
Volunteers over 40 years of age are advised to obtain an effort ECG. This is optional but can be included with the medical certificate.
Misconduct
Administrative Process
Any volunteer whose online applications are incomplete by 20th February 2026 (23:59 SAST) may have their application cancelled.
Assistance
No assistance can be given to competitors outside of the parameters of the race protocols.
Behaviour
- Any inappropriate or harmful behaviour will not be tolerated and will result in immediate removal from the event
- Mobile phones must not be used at the campsite or at the checkpoints
- No littering or excessive noise will be tolerated
- No alcohol/drugs/undeclared medicine/illegal substances will be tolerated. This will result in immediate removal from the event
Camp Site
Tents are numbered and named, and volunteers are to remain in the tents allocated to them for the duration of the race. No volunteer can swop/change tents. Note, there are no tents erected at the penultimate campsite – sleeping areas will be allocated accordingly.
Check-in Procedure
All volunteers must be checked in and signed off by 16:30 on the evening of 17th May 2026.
Environment
The throwing away of any food packaging or any other items on the race route, at checkpoints or at the campsite is strictly forbidden, unless done in the supplied refuse bins.
Participation in Africa Wild Ultra™
Registration: General Details
Registration is personal: cannot be used by another person. Registration includes accommodation on DBB basis prior to and at the end of the race. Registration does not include breakfasts, lunches or dinners (unless stated), alcoholic beverages, soft drinks (unless at stated mealtimes), or costs associated with abandoning participation before the final stage.
Alcoholic beverages during pre- and post-race dinners, or at any other time will be exclusively for the volunteer's account unless advised to the contrary by the Race Director.
Registration: In-Person Registration
After check-in to the hotel/lodge/tented camp, administrative and medical registration checks will take place from 14:00-16:30 on Sunday 17th May 2026 at the Volunteer Registration area.
All requirements must be signed off before 16:30 on Sunday 17th May 2026. Please ensure original copies of required documents are made available.
All volunteers are responsible for their own equipment. Any objects found that remain unclaimed after 24 hours shall be disposed of, except for valuable items.
Registration: Refusal of
Africa Wild Ultra™ and/or the organisers reserve the right to refuse the registration of any applicant. Africa Wild Ultra™ offices will inform the applicant.
Reserved Rights
Africa Wild Ultra™ reserves the right to modify or change or amend any of the following at any time:
- The Terms and Conditions of Africa Wild Ultra™
- The Africa Wild Ultra™ Volunteer Brief
- The course, timings, transport, campsites and accommodation
- The place, the date and initial destination, brought about by forces beyond Africa Wild Ultra's™ control
In the event of an amendment, the Terms and Conditions and the Africa Wild Ultra™ Volunteer Brief applicable shall be those in force as of the date of the volunteer's application. All volunteers will be informed of said amendments.
Search and Rescue
Ground and aerial search teams may be deployed if a volunteer deviates from the marked route or is unaccounted for.
Services
Africa Wild Ultra™ and organizers reserve the right to modify or cancel services at any stage or on a specific route, due to weather, safety, or technical concerns. Every effort will be made to provide equivalent replacements.
Volunteers cannot modify existing services or request additional ones without direct payment to local providers. Africa Wild Ultra™ bears no responsibility for costs incurred by volunteers for additional services.
Terrain Conditions
Africa Wild Ultra™ is a race through remote, desolate areas, mountainous terrain, and areas where dangerous game (animals) occurs. This event is very testing and volunteers must have sufficient fitness.
Dangerous game areas will be monitored, and volunteers will be escorted by qualified Africa Wild Ultra™ Trail Guides – certified by the Field Guides Association of southern Africa.
Climatic and ground conditions can change rapidly and can be extreme.
Third Party Agreements
It is the volunteer's responsibility to ensure that any previous contractual agreements, sponsorships or promotions do not infringe on third party rights as a result of participating in the Africa Wild Ultra™. Volunteers agree to indemnify Africa Wild Ultra™ should any infringements arise.
Volunteers will be liable for any financial consequences and will compensate Africa Wild Ultra™ and/or the organizers for any related payments and legal defence costs.
Transportation
Transportation during the race will be provided by bus, pickup truck, or 4x4 after volunteers arrive in Hoedspruit and until the day following the race conclusion. Africa Wild Ultra™, its organizers, partners, and sponsors are not liable for lost or damaged personal belongings, holdalls or luggage.
Vaccinations
All volunteers should be up to date on routine vaccinations required for travel in South Africa.
Hoedspruit: low to moderate malaria risk. Many take prophylaxis, especially Nov-April. Lowest risk June-Oct (race in May - moderate to low).
Precautions recommended: mosquito repellent, long-sleeved clothing, long trousers, socks at dawn/dusk. Prevention is priority. Malaria should not be discouraging.
Volunteers
Africa Wild Ultra™ will utilise the services of volunteers for the successful execution of the race. Volunteers need to apply separately for consideration. All details applicable to applying and registering, and the rules, regulations and duties are available on the website.
Africa Wild Ultra™ deems all volunteers to have the same authority as race staff regarding the application of race rules and guidance for the duration of the race.
Water Supply
Africa Wild Ultra™ undertakes to supply water to all volunteers. Volunteers are responsible for managing their water usage, as alternative water sources may not be available. It is mandatory to carry water when leaving campsites or checkpoints.
There may be areas where natural waters in rivers and streams may be consumed by volunteers (at their own risk) – these instances will be brought to volunteers' attention at race briefings.

Wellness
If a serious physical condition arises, the volunteer will be taken to the nearest medical facility. If the volunteer's physical condition improves and is satisfactory, they will be taken to the host hotel/lodge/tented camp in Hoedspruit.
- The race organisers will arrange to have the volunteer's personal bag (left at the hotel) retrieved and made available to them
- Africa Wild Ultra™ will aid in reserving accommodation if necessary. The accommodation, including all food and beverages, will be paid for by the volunteer until the race returns to Hoedspruit
- A doctor will be available for consultation if necessary
Withdrawn Volunteers
No volunteer may leave the race without informing the Africa Wild Ultra™ Race Director/Operations Director/Camp Manager as soon as possible and signing a Withdrawal Notice.
A volunteer that withdraws from the race accepts that there will be no right or entitlement to any reimbursement of any kind, or related costs, and will have no claim against the organisers for any loss occasioned by such withdrawal whatsoever.
The withdrawn volunteer will immediately be taken to Hoedspruit, where accommodation will be sought. The volunteer is liable for all costs of that accommodation, food and beverages incurred until reunited with the event group at the end of the event on the final day.
