Volunteer Brief
Overview
Africa Wild Ultra™ is looking for 10 to 20 volunteers to help with the race and enjoy an unforgettable experience. Volunteers must arrive in Hoedspruit three days prior to the event for intensive training, which will prepare them to carry out their tasks efficiently and professionally. They play a vital role in ensuring that the race operates smoothly from start to finish.
Volunteers will witness the highs and lows, the challenges and triumphs, that truly embody the spirit of grit and endurance, culminating in the joy of completing the event.

The Experience

Before the event kicks off, we will equip you with the knowledge and skills you need to thrive through comprehensive training covering communications, camp operations, checkpoint management, building rapport, monitoring, and safety procedures.
Requirements and Advantages
Essential Requirements
- Must be able to read and speak English
- Should be interested in running and should be relatively fit
- Must have a positive, tireless attitude and be happy to work hard – days can be long and intense
- Volunteers can be from 21 to 70 years of age
- Volunteers must be food self-sufficient for the duration of the race – you will be provided with water and a tent space

Training Program
Before the event kicks off, we will equip you with the knowledge and skills you need to thrive. Our comprehensive training covers:
Communications
This is key and essential for smooth, precise operation. We will teach you how to use radios and satellite communications to stay connected in remote locations.
Camp Details
We explain the ins and outs of camp life, from setting things up to keeping things running, and taking things down.
Checkpoint Operations
We will train you to set up and manage checkpoints, how to encourage racers and what not to do.
Building Rapport and Support
You will learn how to build positive relationships with the racers that you will be supporting. You will also get to understand the hardships and emotions that they may be experiencing.
Monitoring
We will train you on how to sweep (moving along the race route at the back of the race) and possibly the media operations on the tech side.
Safety
We will train you in the emergency procedures to ensure everyone's safety and well-being. That includes staff and runners – the ins and outs of making sure everyone is looked after.
Check-in and Registration
Task
Assist with competitor check-in, room/tent allocation, issue race numbers, check documentation, signing of documents, filing, checking mandatory kit and food (k/calories/day), weigh and check holdalls, and race packs.
Responsibilities
- Verify competitor identities
- Ensure waivers/disclaimers are signed
- Ensure correct documents are provided
- Provide competitors with race information
Pre-race Briefing
Task
Help set up and coordinate the pre-race briefing area.
Responsibilities
- Arrange seating
- Distribute briefing materials (if any)
- Assist with any competitor questions
Checkpoints (CP's)
Task
Manage checkpoints along the course, track and log competitor progress, assist in timekeeping.
Responsibilities
- Distribute water
- Monitor competitor well-being
- Monitor race times
- Ensure safety by checking on competitors' condition
- Communicate with medical teams if necessary
- Be aware of course conditions
- Set up and breakdown of checkpoints
Course Marking
Task
Assist with marking and maintaining the racecourse.
Responsibilities
- Set up course markers
- Ensure they remain visible
- Replace any missing or damaged markers during the race
- Ensure lighted markers are visible on course in case of darkness (if required)
Course Detail and Post-stage Cleanup
Task
To help sweeping the course and to rove the course, assist with cleaning up after the race stages.
Responsibilities
- Help sweep the race by following up on the last competitor on the course
- Collect all course markings and make sure no litter is left behind
- Ensure all competitors are finished the stage
- Possibly be involved in roving the course to ensure all matters are proceeding correctly
- Check on competitor wellbeing
- Ensure all checkpoints are staffed and stocked sufficiently
- This may involve walking or riding in/on a vehicle to check on competitors on the course
- Help dismantle race setups and ensure the course is left in good order and condition
Camp Setup and Breakdown
Task
Help set up and break down the overnight campsites.
Responsibilities
- Pitch tents
- Arrange sleeping areas
- Set up communal spaces
- Light communal fires and maintain them as required
- Ensure ablution areas are set up and clean
- Assist with the breakdown of camp each morning
Food Preparation and Distribution
Task
Assist with preparing and distributing meals to competitors (if applicable).
Responsibilities
- Prepare food
- Serve meals
- Maintain cleanliness in dining areas
- Washing up (if required)
Medical Assistance
Task
Support the medical team in providing care to competitors.
Responsibilities
- Assist the medical team
- Monitor competitors for signs of distress
- Coordinate with emergency services if needed
Logistics and Transportation
Task
Help with the transportation of supplies and equipment, personnel and competitors.
Responsibilities
- Load and unload vehicles
- Transport race materials between stages
- Assist with any other logistical tasks as needed
- Staff welcome gazebos at pickup points
Finish Line Support
Task
Assist with operations at the finish line.
Responsibilities
- Provide refreshments and help with competitor recovery
- Ensure competitors are assembled and ready for transport to the hotel/lodge/camp
- Dismantling and packing of finish line set-up
Competitor Support and Morale
Task
Provide general support and encouragement to competitors.
Responsibilities
- Cheer on competitors
- Offer assistance as needed
- Help maintain a positive atmosphere throughout the race
Administration and Logistics
Task
To help and maintain as required, in ensuring all/any administration and logistical factors/operations are kept in an efficient working status.
